Functions & Weddings

'All bookings made by clients for weddings and events at White Waters Country Hotel are accepted on the following terms:'

Minimum Expenditure

The Hotel will state at the time of your booking whether a minimum spend will apply. Any shortfall in the agreed minimum spend will be chargeable to the client. Ceremony & Room Hire Charges, Bar Drinks and Accommodation do not contribute to this minimum spend figure.

Deposits

A deposit of 10% of the agreed minimum spend figure is required to confirm booking. For wedding/private functions a 50% deposit is required 4 weeks prior to the event, with the final payment of the estimated charge one week prior to the event. The balance of charges payable upon presentation of an invoice. Deposits are non-refundable but may be transferable to an alternative date (subject to availability).

Cancellations

In the event of a booking by the client, whatever reason, The White Waters Country Hotel will make a cancellation charge on the following basis:

  • 12 months - 10 months prior to the event taking place 25% of agreed Minimum Expenditure.
  • 10 months - 5 months prior to the event taking place 35% of agreed Minimum Expenditure.
  • 5 months - 2 months prior to the event taking place 75% of the agreed Minimum Expenditure.
  • Less than 2 months prior to the event taking place 100% of the agreed Minimum Expenditure.

Final Numbers

Final Numbers must be received by White Waters Country Hotel at least 10 days prior to arrival. Charges will be made for the number of guests quoted.

Payments

All accounts are due payable upon receipt of invoice. White Waters Country Hotel reserves the right to charge interest at the rate of 2.55% per week or part there of compounded on overdue accounts.

Pricing

The White Waters review all brochure pricing in January of each year for the period commencing the following 1 st April through to the 31 st March of the year after.

Functions & Weddings

General

The White Waters reserves the right to change the clients assigned function rooms for others of comparable suitability.

If in the opinion of The White Waters Country Hotel, either the client or any of its servants, invitees, guests or representatives act in a manner considered to be prejudicial to the good name of The White Waters Country Hotel, The Hotel shall be at Liberty to terminate the contract or event forthwith without being liable for any refund or any compensation to the client.

White Waters Country Hotel requires to know of any proposed third party contracts for entertainment or services for a function and reserves the right to prohibit the same. The White Water Country Hotel also reserves the right to determine the level of noise at a function and the clients are obliged to adjust to this level.

The client shall be held responsible for any losses or damages sustained by The White Water Country Hotel in respect of the premises, furnishings, utensils or equipment, whether the same be caused wilfully or by negligence or default, and shall be liable for the cost of replacement or repair plus compensation for loss of business caused thereby.

No sale, auction or business shall be transacted at The White Waters Country Hotel save with the express prior and written consent of the Hotel.

The Customer agrees to be bound by all reasonable instructions of duly authorised representatives of The Hotel in respect of the conduct of the function and shall ensure that those attending shall similarly comply.

No food or beverages may be brought from the outside onto the premises.

Any written information made available to the client by The Hotel shall be deemed to be incorporated herein and in the event of a dispute these Terms and Conditions shall prevail.

No modifications to these Terms and Conditions shall be binding upon White Waters Country Hotel unless the same is in writing and duly signed by a properly authorised manager within The Hotel.

You will be asked to sign a declaration of the Hotels Terms and Conditions when booking your function. Only when the Hotel has received the clients signed copy then charges will apply.
